Presenting in a New Product Theater at the AHR Expo?

Below is some helpful information.


1. Content Guidelines

  • Presentations should promote a product or service your company is showcasing in your booth.

  • Do not reference or compare competitor products or services.

  • Literature may be distributed during your presentation, but please do not leave any materials behind afterward.

2. Theater & Equipment

  • No physical products or equipment are permitted in the theaters.

  • Each theater includes:

    • Screen & projector (19:9 image ratio)

    • Sound system

    • Podium with wired microphone

    • HDMI connection (presenters must bring necessary adapters)

  • Bring your own laptop with the presentation file ready to run offline.

  • Presentation branding: Slide templates are not provided. You may download and use the AHR Expo logo if desired.

3. Presenter Logistics

  • Arrive 5–10 minutes early to connect your laptop and test AV equipment.

  • Time slots are 20 minutes - begin and end on schedule to keep the program running smoothly.

  • Theater Monitors will:

    • Scan attendee badges for attendance counts (attendee lists are not provided; exhibitors must capture their own leads).

    • Contact tech support or arrange other assistance as needed (e.g., facility issues, medical emergencies).

    • Assist with keeping the schedule on track.

4. Promotion & Outreach

Help boost attendance by promoting your session:

  • Post on social media (tag @AHRExpo)

  • Share in your company’s email newsletters

  • Inform your professional network and industry contacts

  • Personally invite attendees who visit your booth

5. Additional Recommendations (Optional, but encouraged)

  • Backup Plan – Bring your presentation on a USB drive as a secondary copy.

  • Know Your Audience – Expect a mix of contractors, engineers, manufacturers, and other HVACR + Plumbing professionals.

  • Handouts – If offering printed materials, bring enough for expected attendance or provide a QR code/link to a digital version. Please do not leave materials behind.

  • Q&A Management – Plan for questions within your allotted time; avoid running over.

  • Contact Information – Include your contact details or a follow-up link on your closing slide.
