Speaking at the AHR Expo?

Below is some helpful information. Please note, if you are speaking as part of a larger group of presentations, your hosting organization may be providing different equipment for your session or have additional instructions they would like you to follow.


1. Content Guidelines

  • All session content must be non-commercial. Presentations may not directly endorse specific companies, products, or organization memberships.

  • If applicable, you may briefly mention your company or service during the final 3 minutes of your presentation.

  • Topics should be directly related to the HVACR + Plumbing industry and may also include relevant business or professional development subjects.

  • If offering PDHs, be sure to provide instructions or details on how credit will be provided.

2. Room & Equipment

  • No products or equipment are permitted in meeting rooms.

  • Each room will have:

    • Screen & projector (19:9 image ratio)

    • Sound system

    • Podium with a wired microphone

    • HDMI connection (presenters are responsible for bringing any necessary adapters)

  • Bring your own laptop with the presentation file ready to run offline.

  • Presentation branding: Slide templates are not provided. However, the AHR Expo logo can be downloaded and used in your presentation if desired.

3. Presenter Logistics

  • Arrive 10–15 minutes early to connect your laptop and test AV equipment.

  • Stay on time. Begin and end exactly as scheduled to keep the program running smoothly.

  • Room Monitors will:

    • Scan attendee badges as they enter the room.
      (AHR will send out attendee lists within two weeks of the event.)

    • Contact tech support or arrange any other assistance as needed (e.g., facility issues, medical emergencies).

4. Promotion & Outreach

  • Help drive attendance by promoting your session:

    • Post on social media

    • Share in email newsletters

    • Inform your professional network and industry contacts

  • AHR-provided graphic: If you submit a speaker headshot, AHR will create a custom promotional graphic with your session details.

  • Tag @AHRExpo when sharing online.

5. Additional Recommendations (Optional, but helpful)

  • Backup Plan – Bring your presentation on a USB drive as a secondary copy.

  • Know Your Audience – Expect a mix of contractors, engineers, manufacturers, and other HVACR + Plumbing professionals.

  • Handouts – If providing printed materials, bring enough copies for expected attendance or share a QR code/link to a digital version. Please do not leave literature behind after the session.

  • Q&A Management – Plan for questions within your allotted time; avoid running over.

  • Contact Information – Include your professional contact info or a follow-up link on your closing slide for attendees to reach you after the session.
