Receipt of Freight & Set-up of Exhibits: At the Orange County Convention Center starts Thursday, Jan. 21st, from 8:00 am - 5:00 pm, continuing Friday & Saturday, from 8:00 am - 5:00 pm and Sunday, Jan. 24th, from 8:00 am - 3:00 pm.

Refer to the "Targeted" Floor Plan for details on Freight Receipt.

Removal of Exhibits: Display material must be removed from the Orange County Convention Center by 10:00 am, Saturday, Jan. 30th, but all carriers must check in by 9:00 am.

SHIPPING INFORMATION

The Receiving Office at the Exposition Hall will be open for the receipt of exhibit material from 8:00 am - 5:00 pm on Thursday, January 21st. Delivery should be planned in accordance with the Targeted Move-in Floor Plan. Installation of your display may proceed as your exhibit material is delivered to your booth. Exhibitors may unload their own vehicles providing they do not use any material handling equipment (fork-lifts, flatbeds, dollies, etc.) To avoid overtime and keep costs down, ship early in accordance with the Targeted Move-in Plan and install your exhibit during regular working hours. Receiving and installation will continue Friday, Jan. 22nd and Saturday, Jan. 23rd, from 8:00am - 5:00pm, and Sunday, Jan. 24th, from 8:00am to 3:00pm. All freight shipments must be PREPAID. Any material arriving collect will POSITIVELY be refused, and you will be subject to demurrage and warehouse charges. All shipments must be properly boxed or crated. Articles packed in straw or excelsior must be entirely enclosed. These containers cannot be stored unless completely enclosed due to fire hazard. The person in charge of installation of your exhibit should know shipping details of WHAT, HOW and WHEN shipments were made in case they become lost. Make sure you check that your freight is in the hall prior to the weekend, since most truck line offices are closed and tracking capabilities are limited. Freight shipments should be made on straight material handling agreements (bills of lading), which should be carefully prepared to show number of pieces, weight, classification, etc. Machinery should be listed separately from crated display material. Shipments made by other than material handling agreements should be accompanied by a delivery ticket showing number of pieces, classification, weight, etc. Where exhibitors fail to provide accurate weights, Freeman will determine the weight and charge accordingly. Services ordered on behalf of exhibitors by display builders or other third parties must be so authorized in writing by exhibitor.

WAREHOUSE (EARLY) SHIPMENTS

Occasionally, circumstances will be such that it is more practical for an exhibitor's material to arrive in Orlando before the first day of installation. In such cases, arrangements have been made with Freeman to store your material in their warehouse for as long as thirty days without any charge other than handling. No loose or uncrated material or machinery can be handled at the warehouse. Unloading and storing at warehouse, reloading and delivery to booth, empty handling and storage, delivery back to booth and then to dock for outbound carrier pickup is $61.15/cwt. or fraction thereof, for crated material, straight time. Deadline for receipt of freight at the warehouse is January 14th, 2010. Shipments that will not meet the deadline for warehouse freight should be rescheduled for delivery to the Exposition Hall on or after January 21st in accordance with the "Target" plan. A substantial penalty will be charged against any shipments that arrive at the warehouse after January 14th, 2010.

BOOTH CONSTRUCTION

  • Constructed display material and signage may not be installed higher than 8' except against exterior walls of the building or as noted on Floor Plan.
  • No constructed display material (booth equipment) may be placed at the sides of booths that will obstruct the view of a neighbor's exhibit.
  • No constructed display material higher than 42" may be placed in front half of the booth.
  • Display plans must be submitted to Exposition Management for approval.
